Privacy Policy

This policy explains what personal data FriendlyNotifications processes, for what purpose, and on what basis. It applies both to the businesses that use the platform and to the end customers who receive the messages.

1. Who is responsible for your data

There are two distinct roles, and the difference matters:

  • The business that served you is the CONTROLLER of your data. It decides what to keep, why, and who to contact.
  • FriendlyNotifications is the PROCESSOR. It only processes that data on the business's instructions, to send the messages described.

If you are a customer of a business and want to access, correct or delete your data, you may contact that business directly or contact us and we will route it.

2. What data is processed

Data Purpose
First and last name Personalise the greeting and identify the customer for the business.
Phone number Deliver the SMS or WhatsApp message.
Email address Deliver the email message.
Date of birth Know which day to send the birthday greeting. The year is optional and many records do not have it.
Completed jobs Work out when the follow-up message is due.
Consent record Prove that the person authorised receiving messages, and on what terms. Includes the date, the channel and the wording they accepted.
Delivery status Know whether the message arrived, bounced, or the person opted out.
This data is never sold, rented or shared for advertising purposes. It is not used to train models or to profile anyone.

3. SMS Terms

This section gathers, in one place, the terms of the text messaging program operated by Friendly System Group LLC.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties under any circumstances. Mobile numbers are passed only to the technical providers that carry out message delivery, listed in section 4.
Message frequency varies; you will receive approximately 2 to 5 messages per year. There are no daily or weekly sends.
Message and data rates may apply.
You can opt out at any time by replying STOP, and get assistance by replying HELP.

4. Who else processes it

To deliver the messages, strictly necessary data passes through these providers:

5. How long it is kept

Customer data is kept while the business keeps its account active, and is deleted when the business deletes it or closes the account. There is one deliberate exception:

The record of consents and opt-outs is kept even if the contact is deleted. It is the proof that the person's wishes were respected, and erasing it would remove the evidence for the very right it protects.

6. Your rights

You may at any time request access to your data, correct it, delete it, or stop receiving messages. Opting out is immediate and requires no justification.

In Costa Rica, Law 8968 on the Protection of Persons regarding the Processing of their Personal Data grants these rights, and you may contact PRODHAB.

7. Security

Access requires a username and password, traffic is encrypted in transit, and each business's data is isolated from the others: no business can see another's customers. Each business's sending credentials are stored encrypted.
